Prezence ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI-powered attendance application and related services.
2. Information We Collect
We collect the following types of information:
- Personal Information: Names, email addresses, phone numbers, and institute details provided during registration or demo requests.
- Biometric Data: Facial images and face embeddings used for attendance recognition. This data is processed and stored securely within your institute's private AWS collection.
- Attendance Records: Session logs, timestamps, and attendance status (present/absent/late).
- Device Information: Device type, operating system, and app version for troubleshooting purposes.
3. How We Use Your Information
- To provide and maintain our attendance recognition service
- To process and verify student attendance through facial recognition
- To generate attendance reports and analytics for authorized administrators
- To communicate with institute administrators about service updates
- To improve our AI models and service accuracy
4. Data Storage & Security
All facial recognition data is stored in your institute's dedicated, private AWS Rekognition collection. We employ industry-standard encryption (AES-256 at rest, TLS 1.3 in transit) and access controls. No facial data is shared across institutes or with third parties. Only authorized administrators and teachers within your institute can access attendance data.
5. Data Retention
Facial embeddings are retained as long as a student is enrolled in the institute. Upon student removal or institute offboarding, all associated biometric data is permanently deleted within 30 days. Attendance records are retained per the institute's data retention policy, with a default of 3 academic years.
6. Third-Party Services
We use AWS Rekognition for facial recognition processing. AWS processes data in accordance with their privacy policies and applicable data protection regulations. We do not sell, rent, or share personal or biometric data with any other third parties.
7. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access and receive a copy of your personal data
- Request correction of inaccurate data
- Request deletion of your data
- Withdraw consent for biometric data processing
- Lodge a complaint with a data protection authority
8. Children's Privacy
Our service is used in educational institutions and may process data of minors. We require parental or guardian consent (obtained through the institute's enrollment process) before collecting biometric data of students under 18 years of age.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify institute administrators of any material changes via email at least 30 days before they take effect.
